| Description: | Welcome visitors and answer incoming calls in a warm, pleasant and professional manner. Maintain a clean and neat reception area, handle specific resident services, handles emergency situations when necessary, and maintains logs & records and assist with administrative support as required. |
| Duties: | Possess and maintain knowledge of the community, its benefits, services provided, the customers, and employees.
Receive, record, and transfer incoming calls, both internally and externally, in a warm, pleasant and professional manner.
Respond to all calls following proper telephone etiquette and taking detailed messages when appropriate.
Ensure that messages are relayed promptly to the intended person.
Greet all visitors, residents, family members, and employees in a warm and helpful manner.
Ensure that the reception areas are clean, neat and inviting.
Offer refreshments to visitors and make them feel welcomed and comfortable.
Coordinate appointments for residents requesting transportation or hairdressing services.
Collect the residents’ and department managers’ mail and prepare it for distribution.
Provide other assistance with resident services as requested by supervisor.
Practice positive resident relations; respond to resident request and direct resident feedback and request to supervisor.
Receive, sort and send packages and mail for the Executive Director or other departments as requested by your supervisor.
Assist the Marketing Director in handling inquiries as necessary.
Assemble community brochure packets and mail as requested.
Assist the Executive Director and/or other departments with additional administrative duties as assigned.
The facility operates 7 days a week, 24 hours a day. Department schedules must accommodate fluctuating business demands and employees may be asked to work shifts other than those they prefer or normally work.

| Qualifications: | High school diploma or GED is essential; six (6) months office experience.
Experience with switchboard and communication systems is preferred.
Above average ability to interact and communicate with a variety of people, both on a one-on-one basis and in meetings and group presentations; must be able to relate to and work with ill, disabled, emotionally upset, and sometimes hostile people; must be able to communicate in a manner understandable by older adults.
Average ability to think logically in order to troubleshoot, analyze situations, and make sound business decisions.
Average ability to make independent decisions.
Proficient computer skills, including working knowledge of Microsoft Word, Microsoft Excel, PowerPoint, e-mail systems, and Internet browsers.
Ability to handle multiple tasks simultaneously.
